What data is used and why
Messages sent by email
- Purpose
- Replying to the messages you send to contact@epicflare.io.
- Data
- Your email address and the information you choose to include in your message.
- Legal basis
- Our legitimate interest in answering the requests we receive and, when your message concerns a possible engagement, steps taken at your request before entering into a contract.
- Retention
- Up to 3 years after our last exchange. If an engagement follows, for the duration of the business relationship and the periods required by law.
Call booking
- Purpose
- Scheduling the calls you book through the Calendly calendar.
- Data
- The information requested by the booking form (at least your name and email address), any details you add, and the time slot you choose.
- Legal basis
- Steps taken at your request before entering into a contract: scheduling the call you asked for.
- Retention
- Up to 3 years after our last exchange.
- When
- The Calendly calendar loads only when you open the booking dialog or the Calendly link.
Resource downloads
- Purpose
- Giving you access to the documents you request (white paper, presentation, case studies, worksheet) and following up on your professional request. If you tick the optional box, also sending you new resources and occasional updates.
- Data
- Your full name, work email address and company, the document requested, the page and language of the site you requested it from, and whether you ticked the optional box.
- Legal basis
- Our legitimate interest in providing the resources requested by professionals and following up on their request. New resources and updates: your consent, which you can withdraw at any time with the unsubscribe link in each email or by writing to us.
- Retention
- Up to 3 years after our last contact.
- When
- Only when you fill in the download form. Your browser then remembers for 13 months that the resources are unlocked, so you are not asked again; this marker contains no personal data.
Audience measurement
- Purpose
- Measuring how the site is used with Google Analytics.
- Data
- Pages viewed, clicks on contact, booking and download links, download form submissions (without the details entered), approximate location derived from your IP address, device and browser information, and a random identifier stored in a cookie.

- Analytics cookies expire after 13 months at most. Measurement data is kept in Google Analytics for up to 14 months.
- When
- Google Analytics is loaded only if you select “Accept analytics” in the cookie banner. You can change your choice at any time with “Cookie settings” in the footer.

What your browser stores
Your analytics choice is stored in your browser’s local storage so that the banner is not shown again on each page. The same storage keeps your language choice (English or French), if you make one, and, once you have filled in the download form, a marker that unlocks the resources for 13 months. None of these contains personal data.
Your rights
- Access
- Ask whether Epicflare processes data about you and obtain a copy.
- Rectification
- Ask for inaccurate or incomplete data to be corrected.
- Erasure
- Ask for your data to be deleted, within the limits set by law.
- Restriction
- Ask for the processing of your data to be limited in certain cases.
- Objection
- Object to processing based on legitimate interests.
- Portability
- Receive the data you provided in a structured, commonly used format.
- Withdrawal of consent
- Withdraw your consent at any time, for example to analytics.
- Instructions after death
- Give instructions on what happens to your data after your death (French Data Protection Act).
